210 Letter & Option to Extend
The extension process will kick off with an email from GSA asking if your company would like to exercise your option to extend. This email is sometimes referred to as a 210 letter because it is sent approximately 210 days prior to your contract expiration date.
The person listed as your Authorized Negotiator will receive the extension option email, so it is important to keep your Authorized Negotiator and their contact information up-to-date.
Response Due 165 Days Prior to Contract Expiration Date
You must provide GSA with the required documentation via eMod by the date detailed in your 210 letter. This due date is typically 165 days prior to your contract extension.
While your GSA contracting officer may require additional documentation, at minimum, your Option modification should address:
- Contract Compliance
- Terms and Conditions
- Re-representation of Business Size (Small Business Requirement)
- Small Business Subcontracting Plan (Other than Small Business Requirement)
- Commercial Sales Practice (CSP-1) (Non-TDR Contract Requirement)
- GSA Price Proposal Template
- Service Contract Act/Service Contract Labor Standards (Services Requirement)
- Wage Determinations, Professional Compensation Plan and Uncompensated Overtime Policy (Services Requirement)
- Commercial Price List
GSA Clarifications & Negotiation As Needed
If you respond to GSA by the set deadline, you may think the matter of your contract extension is complete. However, until you receive notification of approval, your option to extend is under review. During this time, be on the lookout for clarification requests from GSA, and be prepared to respond promptly. Depending on the circumstances, in addition to responding to clarifications, you may also need to renegotiate your contract.
Approval of Extension Option
When your contracting officer completes their evaluation and is satisfied with the information received, you will receive an email notification stating you have received your option extension. The email will include your new contract period, along with instructions to update your GSA price list.
